Project extranets have become the industry's latest weapon in saving time and cutting costs. What is an Extranet
So popular have these products become that over two thirds of commissioning clients are apparently insisting on some form of project extranet. Quotes from users
So how exactly do extranets achieve such fantastic results?
Firstly there is a direct saving due to reduced administration costs, with savings on such things as postage, printing, photocopying and drawing duplication. In actual cash terms these costs may be relatively low; perhaps running at 2% of project value, but multiply that across the board and the numbers becomes very significant
Even greater savings are achievable when you consider reduced employee costs due to savings of time, travel and associated expenses. In a recent example a subcontractor claimed on a typical 90-day project, employee costs were reduced by over £3500. Once again extend these savings over all projects and the monies become very significant indeed
Increased efficiencies can have even more significant impacts on business performance. For example drawing approval times can be improved by over 25%, design, and procurement times can be reduced between 10% and 15%, with subsequent cash benefits on the bottom line.
Security is of course key, access can be restricted to only relevant and approved parties, systems automatically save revisions, complete document revision and communication histories are immediately available, which can lead to reduced litigation costs, should such unfortunate circumstances occur.
Finally and perhaps most importantly improved client relationships are achieved, through the provision by your company of a secure collaboration model, introducing a highly effective communication channel between you your client and if you require your suppliers.
Some real examples
“There is no longer any need to keep the paper archive per contract work already completed, we have literally hundreds of boxes!“
“Drawings can be distributed immediately; previously you had to allow 2-3 days for printing, copying and postage”
“Drawing revisions can now be agreed in a matter of days. You can publish a drawing invite comments, react to those comments the same day and upload revisions, the process is generally completing a couple of days, whereas the old postal system would have taken at least a week ,and frequently longer ”
“There is no more ….it's in the post"
"I can track each revision of any file, and see who has accessed it, I can then print reports and take them to meetings to follow things up” |
